When you book an appointment, we collect the following personal data:

• Name, e-mail address, phone number — to identify you and confirm your appointment
• Address — to complete your customer profile
• Language preference — so we can communicate with you in your language
• Vehicle information (brand & model) — to prepare the correct service
• Description of your issue or question — to understand what you need before your visit

Legal basis: Article 6(1)(b) GDPR — processing is necessary for the performance of a contract (your appointment booking).

We retain your personal data for as long as you are an active customer of Velodroom bv. Appointment records are kept for a maximum of 3 years after the appointment date, after which they are deleted. You may request earlier deletion at any time (see section 5).

Your data is stored:

• On our secure local server (appointment database)
• In our Nextcloud instance hosted by Portknox (EU-based servers) — for contact management
• In our calendar system (Nextcloud CalDAV) — appointment scheduling

Your data is not sold, shared or transferred to third parties for marketing purposes. Confirmation e-mails are sent via our e-mail provider (Level27, Belgium).

Under the GDPR, you have the following rights:

• Right of access (Art. 15) — request a copy of the data we hold about you
• Right to rectification (Art. 16) — ask us to correct inaccurate data
• Right to erasure (Art. 17) — ask us to delete your personal data
• Right to restriction (Art. 18) — ask us to restrict processing of your data
• Right to data portability (Art. 20) — receive your data in a machine-readable format
• Right to object (Art. 21) — object to processing based on legitimate interests

If you believe your data is being processed unlawfully, you have the right to lodge a complaint with the Belgian supervisory authority:
